Europcar, a leading player in the mobility solutions industry, sought our event management expertise for the management and revamp of their exhibition stand for the EV Show at ExCel London. 

The request was to ultimately manage the organisation of the stand. However, we were also tasked to rebrand the Europcar event pod with a bespoke exhibition stand build that was informative and focused on sustainability within the constraints of an 8m x 10m space.

 

The POD

The Europcar event pod spanned an area of around 3x3x3m and is built using beMatrix structural components. 

The build utilised a column-like main structure with a detachable reception desk. This design allowed for up to 4 TVs displaying dynamic video, image, and audio content. 

Internally, the pod boasted cleverly integrated storage for marketing materials, equipment, and personal belongings, meaning the surrounding space on the stand was clear from clutter. 

The exterior of the pod was branded with removable and changeable graphics, ensuring adaptability for each exhibition Europcar attends in the future.

 

The Process

Organisation

From the outset, our team took charge of organising and managing every aspect of the stand, including health and safety compliance, liaising with the venue, and overseeing the event design, build, and de-rig processes.

 

Redesign

We presented various exhibition stand design concepts to reimagine the event pod, aligning it with Europcar’s distinct branding. 

The final design comprised of baseboards overlaid with removable vinyl to prolong the life and usability of the graphics. 

The design chosen is closely linked to the creatives used in another recent project; Leicester Tigers Stadium Sponsorship Branding.

 

Print

Once the custom design was finalised, we printed all graphics in-house. 

Employing a strategic approach, running print on the same day but at a slower pace to maintain colour consistency. 

(Trade secret, printing slower will maintain a lower temperature of the machine so that it doesn’t affect the colour).

 

Videos

Our support extended to video creation, where we developed a looped video to play across the 3 screens. This comprised of various dynamic and still content. 

We provided the necessary technology to configure the equipment for simultaneous playback, enhancing the overall visual impact.

 

Interactive Digital Screen

To add an extra level of engagement to the stand we provided a large digital touch screen. 

This touch screen was used to showcase another creation of ours, the EV Guide.

For the exhibition displays, we created an offline version to allow people to scan QR codes to then access more information on their mobile devices.  

 

Build

The construction started bright and early on Sunday, November 26th, with the first step being to arrange the 2 luxury Mercedes vehicles on the stand to showcase Europcar’s offerings. 

The main structure, graphics application, and installation of media equipment soon followed. 

The next day, we returned to the ExCel for final touches, ensuring the stand was flawless and ready for the 3-day long event.

The Result:

The planning and organisation led to the creation of a stunning and eye-catching stand for Europcar. 

We were thrilled with the final look, and we are pleased to say that the team at Europcar were too. 

It was a focal point of activity, drawing attendees to discuss the future of electric vehicle rentals for business purposes. 

The stand successfully showcased Europcar’s commitment to sustainability while delivering an interactive and informative experience for visitors at the EV Show.
